What you'll accomplish
By the end of this guide, you'll have a Claude Project set up as your personal front desk writing assistant — one that remembers your practice's policies, insurance contracts, and writing style across every session. Instead of starting from zero each time, it knows your practice and produces outputs that sound like they came from your office.

What you should see: The main Claude chat interface — a text input at the bottom and your conversation history on the left.
Projects are Claude's way of maintaining persistent context — documents you upload and instructions you set stay active across every conversation within that project.
What you should see: A project workspace with options to add instructions, upload files, and start conversations.
This is where you tell Claude about your practice — it will use this context in every conversation within the project.

Writing style guidelines:
- Tone: warm, professional, patient-friendly
- Patient communications: simple language, no dental jargon unless necessary
- Official letters: formal and clinical when needed
- Scripts: natural dialogue, not robotic
HIPAA reminder: Never ask me to include patient names, dates of birth, or specific PHI. I will fill those in manually.
You help me write: insurance appeal letters, patient communication templates, phone scripts, SOPs, online review responses, recall messages, and other front office documents.
Documents you upload give Claude specific, accurate information about your practice — it will reference them in every answer.
What you should see: Uploaded documents appear as tiles in the project workspace.
Example: "Write a cancellation fee explanation script for a patient who just cancelled their crown appointment with less than 24 hours notice."
Because Claude knows your cancellation policy from the uploaded document, it will reference your actual fee — not a generic amount.
What you should see: A script that uses your practice name, your cancellation policy wording, and your tone.
Policy-specific appeal: "Write an insurance appeal referencing our documentation for a denied [procedure]. Denial reason: [reason]."
Billing explanation: "Write a script explaining a patient balance of [amount] on [procedure]. Insurance paid [amount] at [coverage %]. Patient seems [upset/confused/cooperative]."
New patient welcome: "Write a new patient welcome email for our practice. Include: what to bring, parking, how long the first visit takes, and a note from Dr. [Name]."
Training SOP: "Write an SOP for how our front desk handles [specific task]. Reference our practice management software ([name]) and note common mistakes."
Review response: "Write a response to this [star rating] Google review: [paste review]. HIPAA-safe, professional tone, invite them to contact us."
