You spend the first few minutes of every ChatGPT session re-explaining your practice name, your carriers, your tone. This guide ends that. One-time setup puts your practice's context permanently in place, so every letter, script, or message ChatGPT writes for you is already tailored to your office.

This is where you tell ChatGPT who you are and where you work. Copy, paste, and customize this:
I'm a dental receptionist at [Practice Name], a [# of dentist] dentist [private practice/DSO-affiliated office] in [City, State]. We see approximately [# patients] per day. Our insurance carriers include: [list your main 3-5 carriers, e.g., Delta Dental, Cigna, Aetna, MetLife]. We use [Dentrix/Eaglesoft/Open Dental] as our practice management software. I handle scheduling, insurance verification, patient communication, and front-desk operations.
This shapes the tone and format of everything ChatGPT writes for you:
Write in a professional but warm tone — like a friendly, competent business. Not corporate or clinical. When writing patient communications, use plain English — no insurance or dental jargon. When writing formal letters (insurance pre-authorizations, appeals), use professional business letter format. Keep responses concise and practical. If I ask for scripts, format them as ready-to-read text with [brackets] for parts I fill in. Don't add unnecessary caveats or disclaimers — I'm a professional and I'll review everything before using it.
What you should see: A letter that mentions your practice name, uses professional tone, and doesn't ask you for all the background info you would normally have to provide.
