Build a Claude Project Front Desk Assistant

1. Go to claude.ai
2. Click Sign in or Try Claude → create an account
3. Click your profile icon → Upgrade to Pro
4. Complete the subscription — {{tool:Claude.plan}} at {{tool:Claude.price}}

What you should see: Your Claude account now shows a Projects option in the left sidebar.

1. In the left sidebar, click Projects
2. Click + New Project
3. Name it something clear: "Front Desk Assistant — [Practice Name]"
4. Click Create

What you should see: A project page with an empty knowledge section and a chat interface.

1. Inside your project, look for a + or Add content / Project knowledge button

2. Upload or paste in these documents (no PHI — generic documents only):

   • Your fee schedule or common procedure cost ranges
   • Cancellation and no-show policy
   • List of insurance carriers you accept
   • Your office hours, address, and phone
   • Any existing appeal letter templates
   • Your practice's communication style guide (even a few sentences about tone)

3. After each upload, Claude confirms the file is added to the project knowledge

What you should see: A list of uploaded documents in the project knowledge panel. Claude will reference these automatically in every conversation within this project.

Troubleshooting: If you can't find the "Add content" button, look for a document icon or "Knowledge" tab inside the project. The interface is updated regularly — look for anything that says "add files" or "project knowledge."

1. Look for a Project instructions or System prompt box inside the project
2. Add instructions like:

You are a front desk assistant for [Practice Name], a dental practice in [City]. Help me draft patient communications, insurance letters, phone scripts, and training documents. Always use the uploaded documents for practice-specific details (fees, policies, carriers). Write in a [warm/professional] tone. Never include actual patient PHI in your outputs — use placeholder names like [PATIENT NAME]. When writing insurance letters, always include clinical justification language and leave [DATE OF SERVICE] and [INSURANCE ID] as placeholders.

1. Click Save

What you should see: Your instructions appear at the top of the project. Every conversation in this project now starts with this context.

1. Start a conversation inside the project (click New chat within the project)
2. Ask: "What's our cancellation policy, and can you draft a reminder email that mentions it?"
3. Claude should respond using your actual policy from the uploaded document

What you should see: An email that quotes or paraphrases your actual cancellation policy — not a generic one.
