of 5— Identify what needs to be documented

What you'll accomplish

By the end of this guide, you'll have a practical front desk training library — SOPs, onboarding checklists, phone scripts, and policy documents — that new hires can follow from day one. What would normally take weeks of informal training is captured in writing in a single focused session.

What you'll need

  • A ChatGPT account at {{tool:ChatGPT.url}} (free account works well here)
  • 60–90 minutes in a quiet moment (morning before phones get busy, or end of day)
  • A Google Doc or Word document to save your outputs
  • Cost: Free

How-To Guide: Use ChatGPT to Build Your Front Desk Training Library

Step 1: Identify what needs to be documented

Before you start generating, spend 5 minutes making a quick list of the tasks that:

  • Took you the longest to learn when you started
  • Most often go wrong when someone new fills in
  • You have to explain verbally over and over to new hires

Common examples at dental front desks:

  • How to verify insurance in [your PMS]
  • How to handle a patient who shows up without an appointment
  • Morning opening procedures
  • What to do when a patient's co-pay is different than expected
  • How to submit a claim in Dentrix/Eaglesoft
  • End-of-day closing checklist

Write down 5–8 of these. Each one becomes an SOP.

What you should see: A shortlist of 5–8 tasks that would benefit most from written documentation.
